SYMRAX Payroll & Timesheet — Terms of Use
Effective date: September 20, 2026
By accessing or using SYMRAX Payroll & Timesheet (the "Service"), you agree to these Terms of Use and any additional terms in the agreement between SYMRAX and the organization that authorized your access (the "Client"). If a Client agreement conflicts with these Terms, the Client agreement controls to the extent of that conflict.
1. Authorized users
The Service is available only to users authorized by a Client or by SYMRAX. This may include current or former employees, payroll/HR administrators, managers, auditors, contractors, accountants and platform administrators. Your access is limited to the role and permissions assigned to you. Accessing another person's account, another Client's data or any area for which you are not authorized is prohibited.
2. Credentials and account security
You are responsible for protecting your username, password, passkey, one-time codes, device and multi-factor authentication methods. Do not share credentials or leave an authenticated device unattended. If you suspect unauthorized access, change your credentials and notify the appropriate Client administrator promptly.
3. Employee and administrator responsibilities
Users must provide accurate and complete information and review information they submit. Client administrators are responsible for configuring payroll, employment, tax, leave, payment, security and access settings appropriate for their organization, and for reviewing approvals and exceptions before relying on system output.
4. Payroll, tax and compliance information
SYMRAX performs calculations and workflow checks based on configured data, rule packs and application logic. The Service is a software tool and does not replace legal, tax, accounting, employment-standards or professional advice. Clients remain responsible for validating payroll, remittances, T4/ROE filings, employment decisions and other regulated outputs before submission or payment.
5. Time, attendance, leave and kiosk use
Time-clock, QR, kiosk, attendance and leave features may record timestamps, device/session information, work status and employer-authorized location or schedule context. Users must submit truthful time and leave information. Clients are responsible for informing employees about workplace monitoring and for configuring these features in accordance with applicable law and policy.
6. Payment gateways and money movement
When a Client enables payment or remittance integrations, SYMRAX may prepare payment batches, transmit approved instructions and receive transaction status from the selected provider. No payment should be treated as complete until the provider or financial institution confirms completion. The Client is responsible for funding, approval, beneficiary information, remittance details, provider agreements and reconciliation. Third-party payment services are subject to their own terms and availability.
7. Acceptable use
You must not misuse the Service, attempt unauthorized access, interfere with security controls, scrape or extract data without authorization, introduce malicious code, impersonate another user, overload the service, or use personal/confidential information for an unauthorized purpose. Automated access is permitted only through an approved integration or API.
8. Privacy and confidential information
Personal information processed through the Service is handled as described in the SYMRAX Privacy Notice and the applicable Client agreement. Users must access and disclose employee information only for authorized business purposes and in accordance with applicable privacy, employment and confidentiality obligations.
9. Intellectual property
Except for Client-owned or user-owned data, the Service, software, design, documentation and SYMRAX branding are owned by SYMRAX or its licensors and are protected by applicable intellectual-property laws. Access to the Service is limited, revocable, non-exclusive and non-transferable. You may not copy, sell, sublicense, reverse engineer or create unauthorized derivative services except where applicable law expressly permits it.
10. Third-party services and links
The Service may connect to third-party websites, APIs, payment providers, email/SMS providers, government resources or other services. SYMRAX does not control those services and is not responsible for their separate content, availability, security, charges or terms. Use of a third-party service is subject to the Client's agreement with that provider.
11. Availability and security
SYMRAX uses reasonable measures to operate and protect the Service, but uninterrupted or error-free operation cannot be guaranteed. Maintenance, internet failures, provider outages, security incidents, software defects or events outside reasonable control may affect availability. Clients should maintain appropriate review, backup and business-continuity procedures.
12. Disclaimer and limitation
To the maximum extent permitted by applicable law and subject to the applicable Client agreement, the Service is provided on an "as available" basis. Any warranties, service levels, indemnities or liability limits that apply to a Client are those stated in the Client's signed agreement. Nothing in these Terms limits rights or remedies that cannot lawfully be excluded.
13. Suspension and termination
Access may be suspended or terminated when authorization ends, a subscription expires, security requires it, these Terms are materially breached, or the Client instructs SYMRAX to disable access. Employee access is also subject to the Client's employment and account-management decisions.
14. Changes
The Service and these Terms may be updated as functionality, security, law or business requirements change. Material changes should be communicated through the Service, Client communications or updated terms. Continued use after an effective update constitutes acceptance where permitted by law and the applicable Client agreement.
15. Governing law
Unless the Client agreement specifies otherwise, these Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable in Ontario, without regard to conflict-of-law principles.
16. Feedback and contact
Feedback may be used to improve SYMRAX without creating a confidentiality or compensation obligation unless agreed otherwise in writing. Questions about employment records should be directed to the Client's administrator; questions about the Service should be directed to the support contact identified in the Client agreement.
